How Remote Online Notarization Works

Remote Online Notarization (RON) allows you to have documents notarized over a live, audio-video call using an approved technology platform. The entire session is recorded and securely stored for compliance. Your identity is verified through knowledge-based authentication questions and a credential analysis of your government-issued ID.

Washington state authorized RON under Senate Bill 5641, making it fully legal for most document types. The notarization carries the same legal weight as an in-person notarization, and RON documents are accepted by courts, government agencies, financial institutions, and real estate companies across all 50 states.

The process takes about 15-20 minutes for a typical document. You upload your document before the session, join the video call at the scheduled time, verify your identity, review and sign electronically, and receive the notarized document via email immediately after. No printing, no scanning, no mailing.

When to Choose RON vs. In-Person

Choose RON When...

  • You are traveling or out of state
  • You have mobility limitations
  • You need it done quickly without waiting for travel
  • You are comfortable with technology and video calls
  • The document is a standard acknowledgment or jurat
  • You want to save on the travel fee

Choose In-Person When...

  • Multiple signers in the same location
  • Complex loan packages with many documents
  • The signer is not comfortable with technology
  • Witnesses are required in the same room
  • The receiving party specifically requires wet-ink signatures
  • You prefer face-to-face interaction

The RON Process in 4 Steps

1

Schedule & Upload

Call or email to schedule your RON session. Upload your document to our secure platform before the appointment.

2

Identity Verification

At your scheduled time, join the video call. You will answer knowledge-based authentication questions and show your government-issued ID.

3

Sign Electronically

Review your document on screen, apply your electronic signature where indicated, and the notary applies the digital seal and signature.

4

Receive Your Document

Your notarized document is emailed to you immediately. The recording is securely stored for compliance. You are done in under 20 minutes.

Technology Requirements

You do not need anything special. If you can make a video call, you can do a RON session.

Computer or Tablet

A desktop, laptop, or tablet with a webcam. Smartphones work in a pinch but are not ideal for document review.

Stable Internet

A reliable broadband connection. If you can stream a video without buffering, your internet is fast enough.

Government Photo ID

A current, valid state-issued driver's license, state ID card, or U.S. passport. You will hold it up to the camera.

Quiet, Well-Lit Space

The notary needs to clearly see and hear you for the recording. A quiet room with decent lighting works perfectly.

RON FAQ

Is remote online notarization legal in Washington state?

Yes. Washington state authorized remote online notarization under Senate Bill 5641. RON-notarized documents carry the same legal force as in-person notarizations and are accepted by all state courts, federal agencies, and financial institutions. Many other states also recognize Washington RON notarizations through the Revised Uniform Law on Notarial Acts (RULONA).

What documents can be notarized online?

Most documents that can be notarized in person can also be notarized via RON, including powers of attorney, affidavits, real estate documents, trusts, wills (with some restrictions), and business documents. A few exceptions exist, such as self-proved wills in certain jurisdictions. We will confirm whether your specific document is eligible when you schedule.

How is my identity verified during a RON session?

Identity verification in RON is actually more rigorous than in-person notarization. You go through two layers: first, a credential analysis where the platform scans your government ID for authenticity; second, knowledge-based authentication (KBA) where you answer personal questions generated from public records that only you would know. Both must pass before the notarization proceeds.

Can someone outside Washington state use this service?

Yes. One of the key advantages of RON is that the signer can be located anywhere. As long as the notary is commissioned in Washington state and uses an approved RON platform, the signer can be in any U.S. state or even abroad. This makes RON ideal for travelers, military families, and anyone who has relocated.
